An API integration project connects a business workflow across systems. The visible request may be simple, such as copying an approved order into an accounting tool, but the delivery scope also includes permissions, data mapping, failure handling and ongoing ownership.

This checklist is for businesses preparing an integration brief or comparing development proposals. It avoids prescribing a particular provider's API. Authentication methods, limits and supported operations must be confirmed against the current documentation and account access for the actual systems involved.

For wider workflow planning, start with business workflow automation. If the work needs a new application as well as connections, explore our custom software development service.

Define the event and the business result

Describe what starts the workflow and what should exist when it finishes. "Connect our sales and accounting tools" is less useful than explaining which approved record should create which accounting entry, and who needs to see its status.

List the systems involved and the business owner for each one. Identify any manual steps that remain intentional. A person may still need to review an exception or approve an action even when routine data transfer is automated.

Document this alongside your software requirements. It helps a developer distinguish the central workflow from optional convenience features.

Confirm access and provider support early

Check whether the required operation is available through a supported API, export or other approved integration method. Confirm who owns the relevant account and who can grant access to a suitable test environment.

Do not assume that an integration is possible because both products have an API. Your account, provider plan, permissions or operating requirements may affect the available approach. An initial investigation may need to happen before implementation can be estimated.

For an integration inside an existing Laravel application, review Laravel development services. If your own team already owns delivery and needs engineering capacity, compare Laravel developer hiring.

Decide which system owns each piece of data

Identify the authoritative source for customers, products, orders and other shared records. Decide which system can update a field and what happens when values conflict.

Map identifiers and relationships explicitly. Two systems may use different identifiers for the same customer, and similarly named fields may have different meanings. Record how required values, dates and status changes should be translated.

Planning areaDecision to make

OperationsWho monitors and maintains the connection?

For customer-facing records and sales processes, the custom CRM guide gives additional questions about roles and data ownership.

Specify what happens when work does not complete

Ask how the workflow should behave if the provider is unavailable, a request is repeated, data is rejected or only part of the process finishes. The answer should describe a business outcome, not simply "retry on error".

Depending on the workflow, the implementation may need duplicate prevention, a review queue, a reconciliation process or a way to resume interrupted work. The appropriate design depends on the supported provider operations and the consequences of repeating an action.

Make unresolved work visible to an accountable person. A connection that fails quietly can leave staff assuming the two systems agree when they do not.

Agree on testing and acceptance

Choose representative examples of ordinary records and important exceptions. Confirm where tests will run and which actions could affect real accounts, customers or transactions. Keep test activity separate from live business operations wherever the systems allow it.

Acceptance should cover the completed workflow, permissions, duplicate handling, failure visibility and the agreed review process. Ask the team to demonstrate how a staff member investigates an unresolved item.

When reviewing estimates, use the custom software cost guide and web application cost guide to separate interface work, backend logic, integrations and release preparation. Our software estimation article explains why assumptions belong beside the total.

Plan deployment, documentation and upkeep

Record account ownership, configuration needs and how access is managed. Confirm who approves deployment and what monitoring is included. If the workflow replaces manual processing, decide when staff should stop using the old process.

Handover should explain the mapping rules, important settings, known limitations and what to do when a provider changes its behaviour. Use our development approach to frame those delivery responsibilities.

An integration may need ongoing attention as provider APIs, credentials and business requirements change. Read about maintenance after software launch before assuming the connection will require no future work.

Frequently asked questions

Can every business system be integrated?

No. Feasibility depends on supported interfaces, account access, permissions, data availability and the intended operation. A review of the actual systems is needed before promising a connection.

Should we replace a system instead of integrating it?

Sometimes the current tool remains useful and only a connection is needed. In other cases, its limitations prevent the desired workflow. Compare custom software with off-the-shelf options before choosing a larger rebuild.

Can an integration be the first phase of a bigger application?

Yes, if it produces a useful outcome on its own and fits the longer-term responsibilities for data and operations. Keep later features outside the first agreement unless they are necessary for the initial workflow.

Prepare an integration brief

List the systems, the operation you want to automate, the record that starts it and the person who owns each account. Include examples of exceptions without sending credentials in an enquiry. Discuss your integration project with RuhaniSoft to identify the discovery work and a reviewable first milestone.
